Getting started

What is Nexa?

Nexa is an AI knowledge workspace. Bring your documents, notes, links, and recordings into one place, then search them or Ask AI and get answers with citations back to the exact source. It combines document management, semantic search, audio transcription, meeting intelligence, and team collaboration.

How do I add documents?

Upload PDFs, Word files, and text, paste links, or write notes directly. Nexa processes each item, extracts its text, and indexes it so it's instantly searchable and available to Ask AI. Organize related files into collections.

AI & search

Which documents can Ask AI use?

Only the documents you're authorized to see. Ask AI answers from your own files plus any collections shared with you or your department — never content outside your access, and never another workspace's data. Authorization is enforced on every request, at the data layer.

What's the difference between Search and Ask AI?

Search finds the exact files and passages that match your query, using both keyword and semantic (meaning-based) matching. Ask AI goes further: it reads the relevant passages and writes a direct answer with citations. Many simple lookups are answered without ever calling a language model, to keep it fast and cost-aware.

Audio & meetings

Can Nexa transcribe audio and meetings?

Yes. Upload a recording and Nexa transcribes it, then makes the transcript searchable and available to Ask AI just like any other document — so you can ask what was decided without replaying the audio.

What is meeting intelligence?

Beyond a raw transcript, Nexa can summarize a meeting, surface key points and decisions, and let you ask follow-up questions grounded in what was actually said. Availability depends on your plan.

Teams & workspaces

What's the difference between a personal and a team workspace?

Every account has a personal workspace that's private to you. A team workspace is shared by a company: members collaborate on shared collections, and the workspace — not the individual — is the unit of billing and access.

How do departments and roles work?

A team workspace can be organized into departments. Owners and workspace admins manage the whole company; a department admin manages members and invitations for their own department only; members use the content they've been granted. Collections can be shared with a department so the right people get access automatically.

Security & privacy

Is my data isolated from other companies?

Yes. Each workspace is a strict tenant boundary: your content is never visible to another workspace, and that boundary is enforced on every single request — not just hidden in the interface.

Can teammates see each other's private files?

No. Files stay private to the person who uploaded them until they're placed in a shared collection or explicitly shared. Admins manage structure — departments, members, and access — not other people's private documents.

Plans & billing

How does billing work for teams?

A team workspace is billed as one company on a shared plan. Every member draws from the same quota, and a workspace admin can upgrade or downgrade at any time — changes take effect immediately.

Can I upgrade or downgrade anytime?

Yes. Plan changes apply right away, and limits and features resolve live from your active plan. If a downgrade puts you above a plan's storage limit, your existing data is kept — you're simply asked to free up space or move to a larger plan before adding more.

Does Nexa support Arabic?

Yes. The interface is available in both English and Arabic with full right-to-left (RTL) support, and you can switch languages at any time.
